Every XPRTS engagement follows a structured process. No open-ended retainers. No ambiguous scope. You know exactly what you're getting, when you're getting it, and what it will cost before we start.
Strategy Review — Free, 30–45 Minutes
An XPRTS operator assesses your firm across five pillars: Intake & Marketing, Systems & Automation, Billing & Collections, Staffing & Operations, and Growth Readiness. Each pillar is scored 0–6.
Your combined score identifies the primary bottleneck and determines which service lane fits your firm. You receive a specific written recommendation within 48 hours. No generic decks. No pressure to engage. If we're not the right fit, we'll say so.
The Strategy Review is genuinely free. The 30–45 minutes you invest gives you a clear picture of your firm's highest-impact opportunity — whether you engage XPRTS or not.
Proposal & Engagement Letter
We deliver a scoped proposal within 48 hours of the Strategy Review. The proposal includes: defined deliverables, a projected timeline with milestones, and transparent investment structured to align XPRTS incentives with your results.
Engagements are structured, not open-ended. You're not signing a vague retainer. You're signing a defined scope of work with specific outcomes and review checkpoints.
Kickoff & Team Assignment (Week 1)
We align on objectives, assign your dedicated XPRTS team, and establish communication protocols — Slack or Teams for day-to-day, email for documentation, scheduled calls for reviews.
We'll need one thing from you in the first week: access. Practice management system admin access, CRM access, billing platform access, and any existing SOPs or process documentation. The faster we get access, the faster implementation starts.
Discovery & Audit (Weeks 1–2)
We audit your current systems, workflows, and team structure. For systems engagements: we review your Clio and Lawmatics configuration against XPRTS standards and map every gap. For staffing engagements: we interview key staff, map roles, and document tribal knowledge before building SOPs.
This phase is where most firms discover the gap between what they think is happening and what's actually happening. The audit findings inform the build plan.
Build Phase (Weeks 2–4+)
Implementation begins. Depending on your engagement scope, this includes: Clio and Lawmatics configuration, automation design, SOP development, staff recruitment and training, or operational system builds.
Progress is documented in real time and shared with you on your communication channel. You see what's being built as it's being built — no surprises at the 30-day review.
30-Day Progress Review
At 30 days we present initial findings, progress to date, early results where measurable, and any adjustments to the implementation plan. This review is documented and delivered in writing within 48 hours.
This is also where we discuss next steps — whether that's continuing the current engagement, adding scope, or transitioning to Fractional Operations for ongoing support.
Ongoing Optimization (Optional)
For clients who want an ongoing operational partner, Fractional Operations provides monthly reviews, proactive bottleneck identification, systems maintenance, and operator-level advisory — the ongoing version of everything XPRTS builds.
For clients who prefer to operate independently after the engagement, XPRTS delivers full documentation, training, and a defined handoff — so the infrastructure keeps running without us in the room.

Three Things That Determine Outcome
A Decision-Maker
Designate one person who can approve access requests, make scope decisions, and provide feedback quickly. Bottlenecks in decision-making are the single most common reason implementations run slow.
30–60 Minutes Per Week
Especially in the first 30 days. That's all we need for progress check-ins and approvals. XPRTS does the heavy lifting — we just need you available for decisions.
Direct Feedback Early
If something isn't working or isn't right for your firm, tell us in week 2 — not week 6. The earlier we hear it, the faster we adjust. We don't need you to be diplomatic. We need you to be direct.
